Privacy Policy

This policy explains what information TasqPlace collects when you use our website and our workspace application, how we use it, who we share it with, where it is processed, and the rights and choices you have.

1. Who We Are

TasqPlace is a software-as-a-service productivity and collaboration platform for teams. TasqPlace is operated under the registered business name TASQPLACE INFORMATION TECHNOLOGY SERVICE, a sole proprietorship whose business name is registered with the Department of Trade and Industry (DTI) in the Republic of the Philippines. In this policy, "TasqPlace", "we", "us" and "our" refer to that business.

This policy covers our marketing website at tasqplace.com, the TasqPlace web application at app.tasqplace.com, and the TasqPlace desktop and mobile applications.

Two roles. For account information, and for running our own business, we act as the personal information controller. For the content your team puts inside a workspace — projects, tasks, comments, chat messages, files, time entries and similar records — we act as a personal information processor on behalf of the organization that owns the workspace. That organization decides what is stored, who can see it, and how long it is kept. If you use TasqPlace through your employer or a client, please contact them first about content held in their workspace.

2. Information We Collect

We collect only what the service actually needs. The categories below reflect what TasqPlace stores today.

Account information

  • Your name and email address
  • Your password, stored only as a cryptographic hash — never in readable form
  • Whether your email address has been verified
  • A profile photo, if you upload one
  • Your notification preferences

Third-party sign-in information

If you choose to sign in with Google or Facebook, we receive from that provider your name, your email address, an account identifier for that provider, and a link to your provider profile picture. We store these to create and recognize your TasqPlace account. We do not receive your password for that provider, and we do not post anything to your account there.

Workspace, team and permission information

  • Workspace names, logos and settings
  • Membership, invitations, departments and teams
  • Roles and permissions, and which modules a workspace has enabled
  • The plan assigned to a workspace and its usage against plan limits

Content you put into TasqPlace

  • Projects, tasks, statuses, due dates, assignments, custom fields and checklists
  • Comments, mentions and notifications
  • Team chat messages
  • Uploaded files and attachments
  • Internal documents and knowledge content, including records of who downloaded a document
  • Company vault entries, where sensitive values such as account numbers are stored encrypted and only the last four digits are displayed afterwards
  • Client, project-billing and payout records, where a workspace enables those modules

Time-tracking and activity information

Where a workspace uses time tracking, we store time entries against tasks and projects, timesheet submissions and approvals, and periods recorded as idle. If a workspace enables screenshot capture, the screenshots taken during tracked time are stored and shown to the workspace owners, administrators and managers permitted to review timesheets. Screenshot capture can be disabled for a workspace. TasqPlace also keeps activity and audit records inside a workspace, such as who changed a task, approved time, or downloaded a document.

If you track time through TasqPlace at work, your employer decides whether these features are switched on and is responsible for telling you about them where the law requires it.

Technical and security information

Our servers receive technical information when you use TasqPlace, such as your IP address, browser or application type and version, device and operating system, the pages or endpoints requested, and the date and time. IP addresses are used to apply rate limits to actions such as sign-in attempts and messaging, and appear in server and application logs used for troubleshooting, security and abuse prevention.

Subscription and billing information

We store the plan assigned to your workspace, its status, trial and renewal dates, and — once paid billing is live — the transaction references needed to administer your subscription. Payment card details are handled by our payment provider, not by us (see section 8).

Communications with us

If you contact us for support, sales or billing help, we keep that correspondence and the details you include in it so we can answer you and keep a record of the issue.

3. Cookies and Similar Technologies

The TasqPlace application uses cookies that are necessary for the service to work: a session cookie that keeps you signed in, and a token cookie used to protect requests against cross-site request forgery. The application also stores small preferences in your browser's local storage, such as whether the sidebar is collapsed.

We do not use advertising cookies, and no third-party analytics, advertising or session-recording trackers are installed on our website or in the application. Our marketing website loads its web fonts from Google Fonts, which means Google receives the request, including your IP address, when a page loads. If you sign in with Google or Facebook, or make a purchase through our payment provider, those services may set their own cookies during that flow, under their own privacy notices.

You can block or delete cookies in your browser settings, but the application will not work correctly without its essential cookies.

4. How We Use Information

  • To provide the service: create accounts, run workspaces, store and display your content, deliver chat and notifications, and record time
  • To send transactional and notification email — such as email verification, password resets, workspace invitations, task assignments, mentions, due-date reminders, comment updates, time approvals, payout updates and billing notices. Most notification email can be adjusted in your notification preferences; essential account and security messages cannot be switched off while your account is active
  • To apply plan limits and, once paid billing is live, to take payment and manage renewals, invoices and refunds
  • To provide customer, technical and billing support
  • To keep the service secure, apply rate limits, prevent fraud and abuse, and investigate incidents
  • To maintain the audit and activity records workspace owners rely on
  • To understand how the product is used so we can fix problems and improve it
  • To meet our legal, accounting and tax obligations

We do not sell personal information, and we do not use the content stored in your workspace for advertising or to build advertising profiles.

6. Service Providers

We use a small number of third parties to run TasqPlace. They process personal information only as needed to provide their service to us:

  • Hostinger — hosting infrastructure for the TasqPlace application, its database and uploaded files (see section 7)
  • Hostinger email delivery — outbound account, notification and billing email is sent over our provider's SMTP service
  • Paddle — subscription checkout, billing and refunds, once paid billing is live (see section 8)
  • Google and Facebook — only if you choose to sign in with one of those accounts
  • Google Fonts — web fonts on our marketing website

Uploaded files are stored on the application's own server storage rather than with a separate object-storage provider. If your workspace enables an optional plugin or integration, data may also be exchanged with that component; those are governed by their own terms.

7. Hosting and Where Data Is Processed

TasqPlace uses Hostinger infrastructure. The current Hostinger hosting environment used by TasqPlace is a Premium Web Hosting plan located in the Asia (Singapore) data center region. The business itself is operated from the Philippines, so our own staff access to systems and support correspondence takes place there.

Because our providers operate internationally, personal information may be processed or stored outside the country you live in — for example by our payment provider, by a sign-in provider you choose to use, or by our email delivery service. We do not claim that every piece of data relating to your account is stored in a single country or region. Where information is transferred across borders, we require our providers to protect it to a standard consistent with this policy and with the Data Privacy Act of 2012, and we rely on the safeguards required by the law that applies to you, such as standard contractual clauses or an equivalent mechanism.

8. Payment Processing and Paddle

TasqPlace is preparing to use Paddle for subscription billing. Paddle acts as an authorized reseller and Merchant of Record for transactions processed through it.

For subscriptions purchased through Paddle, Paddle may process payment, billing, transaction and related information in connection with the purchase — for example your name, billing email, billing address or country, any tax identifier you provide, and your payment method details. Paddle uses that information to take payment, calculate and remit applicable sales tax or VAT, issue your receipt or invoice, administer refunds and chargebacks, and meet its own legal and anti-fraud obligations, under its own privacy notice.

TasqPlace receives only the information needed to manage your subscription, such as the plan purchased, billing status, amount and transaction reference. TasqPlace does not receive or store your full payment card number.

Paddle billing is not active yet. Until it is, no payment or card information is collected through TasqPlace.

9. How Information Is Shared

  • Inside your workspace — content you create is visible to other members according to the roles and permissions the workspace owner has configured. Owners and administrators can view, export and delete workspace content, and can review timesheets and, where enabled, screenshots.
  • With service providers — as described in sections 6, 7 and 8, under contract and only to run the service.
  • For legal reasons — where required by law, court order or a lawful request from a public authority, or where disclosure is necessary to establish, exercise or defend legal claims, or to protect our rights, our users or the public.
  • In a business transfer — if the business is sold or transferred, information may move as part of that transaction. We will give notice if this materially changes how your information is handled.

10. Data Retention

We keep account information for as long as your account is active. Workspace content is kept for as long as the workspace exists, or until it is deleted by a workspace owner or administrator, subject to the limits of the workspace's plan — for example, plans define how much time-tracking history a workspace retains.

After an account or workspace is deleted, we remove or anonymize the associated data within a reasonable period, except where we need to keep records for legitimate reasons — for example transaction, invoice and tax records that we or our payment provider are required to retain, security and abuse logs, and backup copies that are overwritten on our normal backup cycle.

11. Data Security

We take reasonable and appropriate technical and organizational measures to protect personal information, including encrypted connections (HTTPS) between your device and our servers, password hashing, protection against cross-site request forgery, rate limiting on sensitive endpoints such as sign-in, role and permission checks on workspace requests, encryption of sensitive company vault values, audit logging of sensitive actions such as document downloads, and restricted administrative access.

No online service can be completely secure. You also play a part: use a strong, unique password, keep your credentials private, limit workspace permissions to the people who need them, and tell us promptly if you suspect unauthorized access.

12. Your Rights and Choices

Under the Data Privacy Act of 2012, data subjects in the Philippines have rights including the right to be informed, to object to processing, to access their personal information, to have inaccurate information corrected, to erasure or blocking in the circumstances the law provides, to data portability, to damages where the law allows, and to lodge a complaint with the National Privacy Commission. If you are in another country, you may have similar or additional rights under your local law, such as rights of access, correction, deletion, restriction, objection, portability and withdrawal of consent.

You can update your profile and notification preferences yourself inside TasqPlace at any time. For any other request, contact us using the details in section 16. We will verify your identity before acting and respond within the period required by the law that applies to you.

If your data sits in a workspace controlled by your employer or another organization, we will normally refer your request to that organization and support them in answering it.

13. Account and Workspace Deletion

You can ask us to close your TasqPlace account or delete a workspace you own at any time by contacting us from the email address on the account. Deleting a workspace removes its projects, tasks, comments, chat messages, files, time entries and other content. This cannot be undone, so export anything you need first. Individual members can be removed from a workspace by an owner or administrator without deleting the workspace. If you have a paid subscription, please also read our Refund & Cancellation Policy, because deleting a workspace does not by itself cancel billing.

14. Children's Privacy

TasqPlace is a business product intended for organizations and their team members. It is not directed at children, and we do not knowingly collect personal information from children below the age at which they can consent to online services in their country. If you believe a child has provided us with personal information, contact us and we will delete it.

15. Updates to This Policy

We may update this policy as the service changes or as legal requirements change. When we do, we will revise the "Last updated" date at the top of this page, and where the changes are material we will give notice by email or inside the application before they take effect.
